BOOKING TERMS AND CONDITIONS
The Company: Kiwi Travel Club is the trading name for Kiwi Travel Club Limited, High St Lower Hutt (Referred to in these terms and conditions as “ The Club” or “KTC” or “The Company”)
- Silver Membership: is free with access to most services on a pay as you go basis.
- Gold Membership: provides members with access to a comprehensive range of travel services, payment plans, and travel finance options. An annual membership fee is payable which can be paid monthly by autopay with auto renew.
Bookings: Can be made electronically via our website or by downloading and printing a booking form. Quoted prices are subject to adjustment for supplier price increases, currency fluctuations and applicable tax changes.
Booking Fees: A booking fee may be charged for some travel services. The booking fee is in addition to any commission paid to KTC by the service provider. Gold membership includes a specified number of free of charge bookings.
Itinerary Planning Services: The club offers members an itinerary planning service. A service fee is payable. Gold membership includes a specified number of free itinerary plans.
Passports, Visas, and Inoculations: Members and clients should ensure they have the necessary travel documentation to travel or join a tour. KTC will not be liable for any costs incurred should boarding or entry be denied.
A booking made on standard terms cannot be confirmed until the deposit is paid in full. Once confirmed we regard your booking as a firm commitment to travel and put in place the necessary arrangements for the tour or travel to proceed and KTC standard cancellation terms apply. Full payment is required on or before the payment due date shown on the invoice. We accept payment by internet banking and direct deposit to our New Zealand bank account shown on your booking invoice. Payments by credit card are subject to a processing fee (Currently 2.9 %) Sorry our bank does not accept payments by cheque.
KTC FLEXI-PAY TERMS
KTC Flexi-pay enables approved members to make a provisional tour booking on selected tours and spread the cost interest free on a flexible-terms payment plan. Payments are made by direct debit to the members specified travel account or credit card.
Confirmation Date: Flexi-pay bookings are provisional until the confirmation date shown in the tour brochure or on the KTC website. After the confirmation date we treat the booking as a firm commitment to travel and make the necessary arrangements for the tour to proceed.
Booking Changes and Amendments: A price and payment adjustment may be required for transfer to another tour or change of departure dates.
Administration Fees: An administration fee may be charged if a member makes frequent changes or cancels the provisional booking. An administration fee may also be payable for late payments. We reserve the right to cancel a flexi-pay booking and treat the booking on standard terms should payments not be received frequently on the due date.
Future Travel Credits: Unless extended by the company future travel credits expire 24-months after the date the credit is recorded in member’s account.
FINANCE & TRAVEL LOANS
The club may offer members access to finance on tour bookings. Finance is provided by third parties and subject to separate terms and conditions and may require credit approval. The club or the finance provider may undertake a credit check with the member’s consent. Members are advised the company may receive referral fees and incentives from finance providers.
Gold members are provided with direct access to the company Expedia account. By accessing the Expedia service using the company login members agree to abide by the Expedia terms and conditions and company policies. The company may agree to split or rebate any commissions received on Expedia bookings with payments credited to the members account as future travel credits or in part payment of membership fees.
Partner tour bookings are subject to the partners booking, and cancellation terms, and conditions.
Travel Insurance: For overseas tours, a comprehensive insurance policy is required providing reimbursement for any loss the member or client may incur from loss of deposits or cancellation.
Tour Safety & Management: It is a condition of your participation that you agree to follow the reasonable instructions of the tour leaders or guides. Should you fail to follow reasonable instructions KTC reserves the right to require any participant to leave the tour and no refund will be payable.
Funds Held for Suppliers: When you make a tour booking with KTC we regard that as a firm commitment to travel and make the necessary arrangements with suppliers for the tour to proceed. Money paid to KTC is not held on trust but as a debt due and payable to the tour suppliers.
Collection Costs: Should it be necessary for the company to refer an account for collection you agree to pay any costs incurred.
Cancellation by Member or Client:
Standard Bookings: if you change your mind or cancel before the final payment is due – Loss of deposit. After final payment- a cancellation fee will be deducted from any refund due.
Flexi-Pay Bookings: Payments made on flexi-pay bookings are non-refundable. Prior to the confirmation date you can amend or change your booking to another tour at no cost. If you cancel prior to the confirmation date any payments made will be held as a future travel credit. If you cancel your booking after the confirmation date administration and cancellation fees may be payable.
Cancellation Fees: All bookings are subject to KTC and supplier cancellation terms and conditions. If you cancel KTC will advise the cancellation fee payable. Please note that depending on when you cancel and the applicable circumstances the cancellation fee could be up to 100% of the tour cost.
Kiwi Travel Club (KTC) Tour Fees and Charges: bookings may include a fee to cover operating costs and overheads. These costs are paid or contracted in advance and as such are non-refundable but may be eligible for a future travel credit depending on the circumstances. KTC tour fees and charges are calculated by deducting the direct costs (Supplier Costs) from the tour price.
Cancellation by the company or tour suppliers: Should the tour be cancelled due to insufficient numbers or any other reason within the control of the company we will attempt to reschedule the tour to another date. If we are unable to reschedule, or the member or client is unable to join the tour or travel on the new dates, we will refund all money paid on standard bookings less supplier cancellation fees (If any).
Itinerary Alterations: The company and tour suppliers reserve the right to alter the tour itinerary or cancel the tour for operational reasons including but not limited to road closures, flight cancellations, border closures or other delays. Refunds are not generally available in these circumstances and participants are remined to ensure their travel insurance covers such events.
Force Majeure: Should Kiwi Travel Club Ltd or its suppliers be unable to provide the contracted services for any reason beyond its control the company cancellation policy for standard and flexi-pay booking terms as provided for in these terms and conditions will apply.
Covid 19 Policy: Should the tour be impacted by Covid 19 restrictions we will attempt to reschedule the tour to another date. If we are unable to reschedule, or the member or client is unable to join the tour or travel on the new dates, we will refund all money paid on standard terms less supplier cancellation fees (If any). This policy only applies to Covid 19 cancellations. If you cancel for any other reason our standard or flexi-pay cancellation policy applies.
Voluntary Itinerary Alterations : No refunds will be given if the member or client makes voluntary itinerary alterations.
Consumer Law: Nothing in these terms and conditions is intended to limit your refund rights under the Consumer Guarantees Act and Fair-Trading Act or other New Zealand consumer law.
